**Purpose**: To assist the Project Management Office (PMO) in the day-to-day operational aspects of project oversight. Provide operational and administrative assistance to the Project Manager and Deputy Project Manager while working closely with the functional areas to coordinate and resolve issues on behalf of the PMO. Assist in executing the goals and objectives set by the PMO.
**Essential Duties and Responsibilities**:
Provides executive level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings. This includes preparation of meeting agendas, read-ahead packets, final preparation and distribution of meeting minutes and action items.
Creates, reviews, and edits correspondence prior to submission for signatures or other disposition.
Maintains suspense log for actionable correspondence to ensure the PMO’s awareness of suspense requirements.
Set and manage the daily calendars and schedules of the PMO.
Coordinates activities related to company property (i.e., primary key custodian and primary office supply custodian/hand receipt holder).
Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
Collect, compile, and analyze data to assist the functional area directorates using Amentum OnPoint portal and other reporting tools.
Coordinate the travel and work of others at field locations to support contract deliverables.
Assists with maintaining contract compliance relating to the Performance Work Statement (PWS).
Works closely with department leaders to develop, coordinate, manage, and communicate activities for the company.
Assists Project Manager/ Deputy Project Manager with implementation and integration of project initiatives and goals.
Makes recommendations on policy and process improvements.
Performs other duties as assigned.
**Education**:
- High School diploma or equivalent required.
**Experience**:
- 2-5 years of secretarial or administrative work experience required.
**Specialized knowledge and skills**:
- Must have excellent knowledge of English grammar, spelling, and punctuation and basic math.
- Must have excellent organizational and planning skills, so that workflow is managed efficiently and accurately.
- Must have excellent interpersonal skills, with the ability to interact with all levels of employees and external high-ranking officials.
- Must be able to handle confidential company and employee information with complete discretion.
- Must be able to demonstrate ability to take initiative, multi-task, and work well under pressure.
- Must have excellent presentation skills.
- Capable of working without direct supervision.
- Must have a high level of understanding of office procedures.
- Must have excellent knowledge of administrative procedures and systems such as Word, Excel, Power Point, Microsoft Office, etc.
- Must have a good understanding of military and government contracting terminology.
- Communicate well with others, both verbally and in writing.
**W**ork Environment, Physical Demands and Mental Demands**:
- Ability to perform job duties efficiently and effectively.
- Must be able to work in extreme environmental conditions including dust and high temperatures.
- Must be able to endure long hours, exposure to weather and hazardous conditions.
