Job Description

We are on the lookout for a highly organized and energetic Event Coordinator with a strong background in planning and executing live events and activations. The ideal candidate will bring creativity, attention to detail, and hands-on experience from fast-paced events or activations agency. A strong network of local vendors and a passion for delivering memorable experiences are essential for success in this role.

Key Responsibilities:

  • Plan and execute a variety of events, brand activations, and campaigns across all platforms.
  • Oversee every stage of the event lifecycle, from initial planning and logistics to on-site execution and wrap-up.
  • Manage relationships with suppliers, vendors, entertainers, and venues, including negotiation and coordination.
  • Ensure all events run smoothly by monitoring timelines, setup, deliverables, and contingency plans.
  • Develop original and engaging concepts for events, seasonal campaigns, and community initiatives.
  • Prepare comprehensive event plans, production timelines, and post-event analysis reports.
  • Lead on-site operations, troubleshoot issues in real-time, and ensure high-quality execution.
  • Collaborate closely with internal teams to ensure event alignment with brand goals and messaging.
  • Maintain clear and consistent communication with both internal stakeholders and external partners.

Skills

Requirements:

  • 3 to 5 years of proven experience in event coordination, preferably in an events or activations agency.
  • Bachelor’s degree in marketing, PR, Event Management, or a related field is an advantage.
  • Well-established network of suppliers and service providers in Kuwait.
  • Bilingual in Arabic and English with strong verbal and written communication skills.
  • In-depth understanding of event logistics, production requirements, and on-ground execution.
  • Highly organized, detail-focused, and solutions-driven with a creative mindset.
  • Ability to manage multiple tasks simultaneously and thrive under pressure.
  • Prior experience organizing events in malls or public spaces.
  • Knowledge of local event-related government procedures and compliance requirements.
  • Strong portfolio or documented history of past event successes.

As an Operations Coordinator, you will play a crucial role in supporting the operational team, ensuring effective coordination and smooth execution of various event-related activities. This position involves working closely with different departments to contribute to the overall success of the event.

JOB RESPONSIBILITIES:

  • Dot Planning Assistance:
    Support the implementation of dot planning methodologies for visual representation and coordination of operational tasks and timelines.
    Assist in monitoring dot planning charts to enhance efficiency and clarity in task allocation.
  • Team Support:
    Assist in coordinating on-site teams, providing support to ensure adherence to operational plans.
    Collaborate with various departments, including production, technical, access control, security, cleaning & waste to facilitate seamless event operations.
    Support in planning and executing logistics for event setup, including venue preparations and overlays.
    Collaborate with vendors and contractors to ensure timely delivery and setup of equipment and structures.
  • Safety and Compliance:
    Contribute to the enforcement of safety protocols and compliance with regulations during operational activities.
    Participate in regular inspections to identify and report potential safety hazards.
  • Communication:
    Serve as a point of contact for operational inquiries and assist in maintaining effective communication between different operational teams and departments.
  • Problem-Solving:
    Assist in addressing operational challenges, working collaboratively with relevant stakeholders to implement solutions.
    Contribute to the resolution of issues in real-time to ensure a smooth flow of activities.
  • Documentation Support:
    Aid in maintaining accurate records of operational activities, incidents, and resolutions.
    Assist in preparing reports highlighting key operational metrics and challenges on a regular basis.
